IMPORTANT INFORMATION

Policies and Terms of Registration

Reasonable policies and terms of registration have been established for FIO/LS: 2010. We encourage you to read these carefully as all registrants to FIO/LS: 2010 will be required to agree to these policies and terms as a condition of registration

Confirmations

Upon receipt of your registration and payment, a confirmation letter will be emailed, faxed or mailed (based on your method of registration) to each registrant within three days. PAYMENT PROBLEMS WILL DELAY PROCESSING OF YOUR REGISTRATION.

Badge Credentials

Your registration confirmation will include a bar code which you will scan on-site at a Quick Registration Station in order to print your badge. Should you forget to bring the bar code with you, your badge can be obtained at the Pre-Registration Counters. Your name badge is your admission ticket to all FIO/LS events, including entrance to the FiO Exhibit. Please be sure to wear your name badge each day. Please note: BADGES WILL NOT BE MAILED.

Refund and Cancellation Policy

All requests for refunds must be received in writing by Friday, October 8, 2010. A service charge of $75.00 will be assessed for processing cancellation refunds. A letter requesting the refund should state the registrant’s name, amount and method of payment, and to whom the refund should be made payable. Any registrations received after the cancellation date will be non-refundable.

All requests for refunds must be made in writing. Please allow four to six weeks for processing.

Payment Type

Credit cards are accepted. Payments made by check or money order must be made payable to the Optical Society of America in US funds and drawn on a US bank.

Payment must accompany your registration form in order to process your badge/ticket order. Forms received on or before September 28, 2010, 11:59 p.m. EDT (03.59 GMT) will be charged the pre-registration fee. Forms received after September 28, 2010, will automatically be charged the on-site registration fee.

Short Course Registration

Each Short Course requires a separate fee. Advance registration is suggested as each course has limited seating. There will not be a wait list for sold-out courses. Tickets are required for admission to Short Courses and for Short Course Notes, which are distributed on-site. Short Course Notes are not available for purchase separately. There are no refunds on Short Course registrations; however, you may exchange a same duration course for another.

Each Short Course requires a separate registration fee (unless taking advantage of the Free Short Course Offer for Student Members—see more information on this offer below) and ticket.

FREE Short Course Offer for Student Members

The FiO sponsoring organizations will offer student members of APS or OSA limited free Short Course registration. Free student member course registration will begin immediately after the pre-registration deadline of September 28, 2010. There will not be free student registration for sold-out courses, and on-site registration is not guaranteed. Register early to guarantee your seat at a Short Course. Short Course notes are NOT included in this free offer.  Notes are available for a fee of $15.  To take advantage of the Free Short Course a student must:

• Be a current student member of APS or OSA
• Be registered for the FIO/LS conference (full- or one-day Technical registration)

REMINDER:  Short Course notes are not included with the free Short Courses.  Notes are a separate $15 fee. Students may only purchase notes for those Courses selected as part of the free offer.
This offer does not apply to full-day courses.

CONFERENCE MATERIALS

Technical Digest

The FiO/LS: 2010 Technical Digest on CD-ROM is composed of the 1 to 2 page summaries of invited and accepted contributed papers as submitted by the authors.

Post-deadline Papers Book

This FIO/LS: 2010 Post-deadline Papers Book includes the 2-page summaries of accepted post-deadline papers as submitted by the authors. The book will be included with your registration materials and available to all conference registrants. Post-deadline papers will be presented Wednesday, October 27 from 6:30 p.m. – 8:00 p.m.

Short Course Notes

Notes typically include a copy of the presentation and any additional materials provided by the instructor. Each course has a unique set of notes, which are distributed on-site to registered course attendees only. Notes are not available for purchase, either individually or in sets with the exception of students taking advantage of the student member offer.

FiO Exhibit Guide

The FiO 2010 Exhibit Guide is composed of the 50-word descriptions and contact information for exhibiting companies, a cross-referenced product-category index, general conference services information and exhibit floor activities. Guides will be given to every FiO/LS attendee as part of their registration.

Conference Welcome Reception

The conference reception will be held on Sunday, October 24, 6:00 p.m.-7:30 p.m. This reception is included with all conference registrations. Additional tickets are not available for sale.

SPECIAL PRODUCTS / EVENTS

Laser Science Banquet
Tuesday, October 26, 7:00 p.m.–10:00 p.m.
Grand Ballroom A & B, Hyatt Regency Rochester
Join your colleagues for the annual LS Banquet. Tickets are required for this event and can be purchased during registration for US $50. There is a limited quantity of tickets and tickets must be purchased by 12:00 p.m. on Monday, October 25.

FREE! Tour of Omega Laser Facility at the Univ. of Rochester’s Laboratory for Laser Energetics (LLE)
Friday, October 29, 9:00 a.m. – 12:00 p.m.  Registration Deadline: October 1, 2010
(Please note that this deadline is to register for the LLE tour ONLY. The pre-registration deadline for the FiO/LS Conference is September 29, 2010.)

INTERNATIONAL ATTENDEES

Letters of Invitation

In order to provide more accurate and timely service, FiO/LS Management has improved the process for obtaining invitation letters. We will provide our international presenters with letters of invitation for use in the visa process. Non-authors or non-presenting attendees may request a letter of support via the FiO/LS website at www.frontiersinoptics.org.

Following completion of the online form, the letter will be emailed in locked PDF format. This service will be available beginning June 1, 2010.  Currently there is no date for when these letters will no longer be available for this meeting. Unfortunately, we can no longer send the completed document to you by FedEx, fax or other means.
Please note: The visa process can take up to nine months, so we urge you to act immediately!

Exhibitor Registration

Do you work for an exhibiting company?
If you work for an exhibiting company and will need access to the exhibit hall during set-up, tear-down, and before the hall opens each day, you must register using the Exhibitor Registration form. Do not also register using Attendee Registration, as duplicate badges will be deleted.
